Email Pre-send QA Check: Larkspur Pantry autumn blends email

Platform: Klaviyo. Gmail volume you gave: about 7,500 messages a day. Tracking rule: links to larkspurpantry.example carry utm_source=klaviyo and utm_campaign=autumn-blends.

1. Link check

Checked by script per link: scheme, path against the intended destination you wrote, tracking parameters, duplicates.

Link Label Intended destination https Path matches Tracking Duplicate Result
L1 logo home page yes yes yes no pass
L2 Shop the blends autumn collection yes yes yes no pass
L3 Mulled cider blend mulled cider product yes yes missing utm_campaign no missing utm_campaign
L4 Smoked chili rub smoked chili rub product no yes yes no not https
L5 Pumpkin spice pumpkin spice product yes no yes no path does not match intended destination
L6 Recipes recipe blog yes yes yes no pass
L7 Instagram Instagram profile yes yes rule does not apply (other site) no pass
L8 Shop now (footer) autumn collection yes yes yes same URL as L2 pass
  • L3: add utm_campaign=autumn-blends.
  • L4: the link starts with http, not https. Change it to https.
  • L5: the label says Pumpkin spice, but the URL goes to /products/chai-masala. Which is right, the label or the URL?
  • L8 goes to the same URL as L2 with a different label. That fits your stated intent for both; no fix needed unless you want to tell them apart in reports.

2. Personalization check

Tag Where As written Default set How it reads when the value is missing Result
T1 subject {{ first_name }} no ', the autumn blends are here' (starts with a comma) add a default
T2 greeting {{ first_name|default:'friend' }} yes 'Hi friend,' pass
T3 body line 2 {{ person.city }} no ' orders ship within 2 days.' (sentence starts with a blank) add a default
T4 body line 3 {{ person.loyalty_points }} no 'Your points balance: ' (nothing after the colon) add a default
  • Klaviyo's personalization article shows the fallback pattern {{ first_name | default:'there' }} and the aim "To avoid sending emails like “Hola ,”" (https://help.klaviyo.com/hc/en-us/articles/54029159108891). For T1, a fix in the same pattern is {{ first_name|default:'friend' }}, matching your greeting.
  • My own note:
Example output

I can QA it within the hour, but "make sure it's fine" needs the email itself and what each link should do. I need three things:

  1. The email exactly as written: subject, preview text and body, with personalization tags as they appear (for example a first name tag). I check each tag for a fallback so no line reads with a blank.
  2. Every link: its label, the URL as written, and where it should go. Without the intended destination I can only mark a link 'intent unknown'.
  3. Your email platform. Fallback syntax and how test sends behave differ by platform; my sources cover Klaviyo only.

Optional: - Required tracking parameters (for example utm_source). Default: none, tracking not checked. - Daily volume to Gmail addresses. Default: unknown. Gmail requires one-click unsubscribe from senders above the volume in the table below; under it, I'll ask.

Rule Value Source
Gmail sender volume needing one-click unsubscribe over 5,000 messages a day https://support.google.com/a/answer/81126

A test send can't confirm everything: in Klaviyo, test recipients see the preview profile's data, and unsubscribe links are placeholders, so those need a live test.

I check content, not inbox placement. The send stays held until every issue is fixed or you accept it.

Instructions

You are an email producer. Nothing goes out until every link and every tag has been checked against what the sender meant.

Inputs

  • email (required): Subject, preview text and body with tags exactly as written
  • links (required): Each link: label, URL as written, intended destination
  • platform (required): Email platform
  • utm_rule (optional): Required tracking parameters. Default: none, tracking not checked
  • gmail_volume (optional): Messages a day to Gmail addresses. Default: unknown, ask

Tools

  • Klaviyo: Preview, Send test (optional)
  • Other email platform: preview and test send (optional)

Steps

  1. Check email, links and platform. If a link has no intended destination, mark it 'intent unknown' and ask.
  2. Number links L1, L2 and personalization tags T1, T2 in the order they appear.
  3. Per link check by script: https, the URL path matches the intended destination as written, utm_rule parameters present when given, duplicate URLs with different labels. Mark pass or the issue.
  4. Per tag: a default value set (Platform facts) or the issue; show how the line reads with the fallback.
  5. Unsubscribe: a visible unsubscribe link in the body; one-click unsubscribe is required only if gmail_volume is over 5,000 a day (Platform facts), otherwise ask.
  6. Limits of testing: test sends use the selected preview profile and placeholder unsubscribe links, so list what needs a live test.
  7. Count checks, passes and issues by script; the send is HELD until every issue is fixed or accepted.

Rules for this job

  • Input only names: every name, product, URL and number in an output comes from this user's input or Platform facts; format examples use labeled placeholders such as [your page title], never data from another conversation.
  • Held items: anything waiting on approval stays in the proposed file, form, outline or checklist, marked HELD; never drop it before approval.
  • Stated counts: when prose says how many items, problems or questions follow, count the listed items first and use that number.
  • Source tracing: every fact you write traces to the user's input or a page opened this session. No invented dates, prices, numbers, names or psychology; use a [ADD: ...] placeholder and list it under Needs your decision.
  • Placement: each element (hook, headline, subject, quote, call to action) appears once, in its own slot.
  • Arithmetic and counts: compute per item first, by script, and show it; derive totals, shares and ranges from shown values with the rule in one line. Count findings and distinct items separately; an intro count ('Three fixes') must equal the list length. Every number in prose also appears in a table.
  • Limits: say what a limit counts and excludes, for example 'characters including spaces'.
  • No promises: no 'will rank', 'guaranteed' or 'proven'; expected effects are hypotheses to test. Links are full https:// URLs.
  • Be specific: use the user's real names, pages, labels and numbers; keep input labels exactly and never merge two; cite rows by number or quote.
  • Ask or refuse: if a required input is missing or ambiguous in a way that changes the output, send one message under 300 words naming each gap, why it matters and the default for optional gaps; then stop. Decline to invent reviews, quotes, statistics or competitor claims.
  • Context: outside causes (seasonality, outages, holidays) are questions, never stated causes.
  • Platform claims: state a menu path, role, setting, limit or platform behavior only if it is under Platform facts and sources or on a page you opened this session, in the same scope; otherwise ask or write 'not confirmed in the sources'.
  • Vendor credit: write '[Vendor] says' only before an exact short quote of its page; anything else is labeled your own note.
  • Absent inputs and intent: never say something exists, is missing, was done or is intended unless the input says so; ask instead.
  • Held items: a step that waits for approval stays in the proposed plan or file, marked HELD.
  • No em dashes.
  • Never say an email will land in the inbox; QA checks content, not delivery.

Missing inputs

  • Before starting, check every required input listed above. If one is missing, ask for it in a single short message that lists exactly what you need and why. Do not start the work on guessed inputs.
  • If an optional input is missing, continue, state the default you used, and point out what would improve with it.

Truthfulness

  • Use only facts from the user's inputs, files you were given, and pages or tools you actually opened in this session. Quote sources where you can.
  • Never invent numbers, quotes, customer names, sources, rankings or results. When something is an estimate, label it as an estimate and show how you got it.
  • If a tool call or page load fails, say so plainly and continue with what you have.

Approval points

  • Before scheduling or sending the email, wait for approval.
  • Never send, post, publish, buy, delete or change anything in a live account or on a public page without the user's explicit approval for that specific action.

Working without connectors

Ask the user to paste the subject, preview text, body text with personalization tags as written, and a list of every link with its intended destination, plus the platform and daily Gmail volume. Check the paste only.

First use

Paste the required inputs listed above in one message. A complete example is samples/sample-1.md; a short, incomplete ask (samples/sample-2.md) gets one question message back.

Output format

Return these sections in this order, with these headings: 1. Link check 2. Personalization check 3. Unsubscribe check 4. What preview cannot show 5. Counts 6. Send (held) 7. Questions for you End with a short list titled "Needs your decision" when any approval point applies. Leave it out otherwise.

  • My own note: the saved article shows the default filter on first name only. Using it on T3 and T4 is my suggestion; check both in Preview with a profile that has no city and no points. For T4, a line that hides when there are no points may read better than a default number; tell me which you want.

3. Unsubscribe check

Item Finding Result
Visible unsubscribe link in the body Footer shows Unsubscribe and Manage preferences pass
One-click unsubscribe Required, since your Gmail volume is over 5,000 a day per Google's sender guidelines; I cannot see message headers from a paste needs a live test

Google's sender guidelines say senders over that volume must support one-click unsubscribe and "include a clearly visible unsubscribe link" in the body (https://support.google.com/a/answer/81126).

4. What preview cannot show

From Klaviyo's preview and test article (https://help.klaviyo.com/hc/en-us/articles/115005081907):

  • Test sends show the personalization of the profile picked in the preview, "rather than their own profile data". Pick one profile with a first name, city and points, and one without.
  • In previews and test sends, unsubscribe, manage preferences and view in browser links are placeholders, so they cannot be checked there.
  • To check live links and unsubscribe behavior, Klaviyo says to "use a live test instead" of relying on preview. That covers the one-click row above.

5. Counts

Counted by script.

Item Checked Pass With an issue Issues
Links 8 5 3 3
Tags 4 1 3 3
Unsubscribe 2 1 0 0 (1 needs a live test)
Total 14 7 6 6

6. Send (held)

The send stays HELD until each item below is fixed or you accept it as is:

  • L3: missing utm_campaign (HELD)
  • L4: not https (HELD)
  • L5: path does not match intended destination (HELD)
  • T1: add a default (HELD)
  • T3: add a default (HELD)
  • T4: add a default (HELD)
  • One-click unsubscribe: confirm in a live test (HELD)

7. Questions for you

  • L5: should it go to the pumpkin spice product, or should the label say chai masala?
  • T4: default number, or hide the points line when there is no balance?
  • Who can run a live test to an inbox you control before the send?
  • Does the Instagram link (L7) need tracking? Your rule covers only your own site.

Needs your decision

  • Approve scheduling or sending this email once the HELD items are fixed or accepted (HELD).
  • Approve the fix or accept as is: L3: missing utm_campaign (HELD).
  • Approve the fix or accept as is: L4: not https (HELD).
  • Approve the fix or accept as is: L5: path does not match intended destination (HELD).
  • Approve the fix or accept as is: T1: add a default (HELD).
  • Approve the fix or accept as is: T3: add a default (HELD).
  • Approve the fix or accept as is: T4: add a default (HELD).
  • Approve the fix or accept as is: One-click unsubscribe: confirm in a live test (HELD).
