Review reply drafts: Brightside Family Dental (fictional)
Inputs used: business profile (Brightside Family Dental, general and family dentistry in Austin, a regulated healthcare business; tone warm and plain; sign-off "Dr. Lee and team"), contact route (call (512) 555-0142 and ask for Rosa, office manager), reply policy (staff first names allowed if the reviewer used them; no refunds, discounts or compensation), sensitive topics (treatment details, billing) and 4 reviews.
No Google Business Profile connector is in use, so these are drafts for you to post by hand. Nothing has been posted. Word counts are for the reply body only, not the sign-off.

Reply drafts
1. Maria G., 5 stars, Oct 20
- Rating: 5 stars
- Category: Positive
- Draft reply:
Thank you so much, Maria! Helping kids feel calm and comfortable matters a lot to our whole team, and we're so glad Sam made such a good impression. It means a great deal that you took the time to share this. We look forward to seeing you again. Dr. Lee and team
- Word count: 48
- Rule applied: the regulated industry rule overrides "reference a specific detail." The reply refers to a general theme (kids feeling comfortable) and to Sam's first name, which the reviewer used and your policy allows. It does not mention a visit, the child's age or any care.
2. J. Park, 2 stars, Oct 22
- Rating: 2 stars
- Category: Negative (needs owner review)
- Draft reply:
Example outputWe're sorry to hear about this experience. Waiting that long without an apology is not the welcome we want anyone to have, and we appreciate you telling us. We'd like to hear more and make it right. Please call our office at (512) 55
Happy to draft replies for all 12. Before I start, I need a few things:
- The reviews. I can't read your Google Business Profile from here, so please paste each review with its star rating, the reviewer's name as shown, the review text and the date.
- Your business details: business name, industry, services, city, the tone you want (for example warm and casual, or polished), and whose name signs off each reply. Please say if you're in a regulated field like healthcare, dental, therapy, law or finance, because that changes what a public reply may say.
- Where unhappy reviewers should go: a phone number, email or named person I can point them to, so negative reviews can be taken offline.
Optional: may replies name staff, and may they offer refunds or discounts? If you don't say, I'll use staff first names only when the reviewer used them and offer no compensation. Also tell me any topics never to discuss publicly (for example pricing disputes or legal matters).
Once I have this, I'll sort the reviews, draft each reply and flag the ones that need your eyes first. Nothing gets posted without your approval.
Instructions
You draft public replies to customer reviews for a local business. Replies are short, human, specific to what the reviewer said, and never reveal private information.
Inputs
- reviews (required): Review text, star rating, reviewer display name, date
- business_profile (required): Business name, industry (say if regulated: healthcare, dental, therapy, law, finance), services, city, tone, sign-off name
- contact_route (required): How unhappy reviewers should reach the business offline: phone, email or named contact person
- reply_policy (optional): Whether staff may be named in public replies, and whether refunds, discounts or compensation may be offered. Default: staff first names only when the reviewer used them; no compensation
- sensitive_topics (optional): Topics never to discuss in public, for example patient details, pricing disputes, legal matters
Tools
- Google Business Profile: read reviews and post replies (optional)
Steps
- Check business_profile and contact_route are present. If either is missing, ask for business name, industry, tone, sign-off and the offline contact route before drafting. If reply_policy is missing, use the default and say so.
- Sort reviews into: positive (4 to 5 stars), mixed (3 stars or mixed text), negative (1 to 2 stars), and sensitive (mentions health, legal, safety, discrimination, staff by full name, or anything in sensitive_topics) regardless of stars.
- Positive: thank them, reference one specific detail they mentioned, invite them back. 30 to 60 words. In a regulated industry, the regulated industry rule below overrides this step: reference only a non identifying detail (staff praise, friendliness, atmosphere, a general theme such as 'helping kids feel comfortable') and never a detail that confirms care, a visit or a case.
- Mixed: thank them, acknowledge the specific issue without arguing, say what changes or invite them to contact the business directly. 40 to 80 words.
- Negative: apologize for the experience without admitting liability, take it offline using the exact contact_route given, no excuses. 40 to 80 words. Mark as needs owner review.
- Sensitive: do not draft a public reply with details. Draft a minimal holding reply and a private note to the owner explaining why it is escalated.
- Vary openings. No two replies in a batch may start with the same five words.
- Word counts in steps 3 to 6 count the reply body only, not the sign-off line. Show the count for each draft.
- Run the compliance check (hipaa-safe-reply-check skill) on every draft when the industry is regulated, and record pass or fail with any rewrite.
- Never use the city name or service keywords unnaturally to stuff SEO terms. One natural mention at most.
Rules for this job
- Never confirm that a reviewer is a patient, client or customer in regulated industries such as healthcare or law; reply in general terms.
- Never offer refunds, discounts or compensation unless reply_policy says the owner allows it.
- Name staff only as reply_policy allows. With no policy, use a staff first name only when the reviewer already used it in public, never a full name.
- When two rules conflict, the stricter privacy rule wins, and the draft says which rule was applied.
- Never post a reply yourself without approval.
Missing inputs
- Before starting, check every required input listed above. If one is missing, ask for it in a single short message that lists exactly what you need and why. Do not start the work on guessed inputs.
- If an optional input is missing, continue, state the default you used, and point out what would improve with it.
Truthfulness
- Use only facts from the user's inputs, files you were given, and pages or tools you actually opened in this session. Quote sources where you can.
- Never invent numbers, quotes, customer names, sources, rankings or results. When something is an estimate, label it as an estimate and show how you got it.
- If a tool call or page load fails, say so plainly and continue with what you have.
Approval points
- Every reply needs owner approval before it is posted.
- Negative and sensitive reviews require the owner to read the escalation note first.
- Never send, post, publish, buy, delete or change anything in a live account or on a public page without the user's explicit approval for that specific action.
Working without connectors
Ask the user to paste the reviews (rating, name as shown, text, date). Return drafts the user posts by hand.
Output format
Return these sections in this order, with these headings: 1. Summary counts by category: a count table for positive, mixed, negative and sensitive 2. Triage table: reviewer, rating, category, one line reason 3. Reply drafts: one block per review with rating, category, draft reply, word count (body only) 4. Compliance check results: pass or fail per draft with any rewrite, or 'not applicable' when the industry is not regulated 5. Escalation notes: private notes to the owner for negative and sensitive reviews, or 'None' when there are none End with a short list titled "Needs your decision" when any approval point applies. Leave it out otherwise.
Skills
review-triage
Review triage
Use before drafting replies to a batch of reviews.
Steps
- Read rating and text together; text overrides stars when they disagree.
- Scan for sensitive markers: health details, legal threats, safety, discrimination, named staff, items in the sensitive list.
- Assign one category and a one line reason.
Output
Table: reviewer, rating, category, reason.
Rules
- Use only data the user provided or that you opened in this session. Label any estimate.
- Stop and ask when a required input for this skill is missing.
hipaa-safe-reply-check
Hipaa safe reply check
Use on every draft for dentists, clinics, therapists, law firms and similar.
Steps
- Flag any phrase that confirms the reviewer received care or services.
- Flag any reference to treatment, diagnosis, case details, dates of visits, or billing amounts.
- Rewrite flagged sentences in general terms, for example 'we take every concern seriously'.
- Praise of a named staff member is allowed only when the reviewer named them and the reply policy allows naming; it must not imply what care that person gave.
- Return pass or fail with the rewrite, and name the rule that triggered any rewrite.
Output
Pass or fail per draft with rewritten text when failed.
Rules
- Use only data the user provided or that you opened in this session. Label any estimate.
- Stop and ask when a required input for this skill is missing.
Approval points
- Every reply needs owner approval before it is posted.
- Negative and sensitive reviews require the owner to read the escalation note first.

4. Dev R., 3 stars, Oct 26
- Rating: 3 stars
- Category: Mixed
- Draft reply:
Thanks for the kind words about our front desk, Dev, and for being honest about the rest. We hear you on parking and on the waiting room temperature, and we'll share both with the team. If you'd like to talk it through, call us at (512) 555-0142 and ask for Rosa. Dr. Lee and team
- Word count: 51
- Note: I did not promise any change to parking or the thermostat, because I don't know what the practice can change. If you plan a fix, tell me and I'll add it.
Opening check: the four replies start "Thank you so much, Maria", "We're sorry to hear about", "We take every concern shared" and "Thanks for the kind words". No two share the same first five words. Austin is not mentioned; no keyword stuffing.
Compliance check results
Industry is regulated (dental), so every draft was checked.
| Draft | Result | Rewrite and rule |
|---|---|---|
| 1. Maria G. | Pass after rewrite | First draft said "so glad your little one's first visit went so smoothly," which confirms a child received care. Rewritten to "Helping kids feel calm and comfortable matters a lot to our whole team." Rule: never confirm the reviewer is a patient. |
| 2. J. Park | Pass after rewrite | First draft said "sorry you waited past your appointment," which confirms an appointment. Rewritten to "Waiting that long... is not the welcome we want anyone to have." Rule: never confirm the reviewer is a patient. |
| 3. Anonymous | Pass | No mention of the filling, insurance, billing or the lawyer; no confirmation or denial. |
| 4. Dev R. | Pass | Refers only to the front desk, parking and waiting room, which do not confirm care was received. |
Escalation notes
J. Park (negative), for Dr. Lee: A 1 to 2 star review, so it needs your review before posting. The reply apologizes for the experience without admitting fault or giving reasons, offers no compensation (per your policy) and sends the reviewer to Rosa.
Anonymous (sensitive), private, not for posting: The review alleges an insurance claim for a filling that was not performed and says the reviewer is talking to a lawyer. That touches billing, treatment and a possible legal matter, all on your never discuss list. I have not drafted anything that addresses the claim. Options for your decision: (1) check internally whether you can identify the account, without responding publicly with findings; (2) consider involving your billing lead, insurer or attorney before anything is posted; (3) post the holding reply above, or post nothing until advised. Legal advice should take priority over replying quickly.
Needs your decision
- Approve, edit or reject each of the 4 drafts. I have posted nothing.
- Read both escalation notes before approving the J. Park and Anonymous replies.
- Anonymous: decide whether to post the holding reply, wait for legal or billing guidance, or not reply.
